Welcome to Harrogate Theatre Choir – we’re delighted that you are joining us.  We now ask you to provide some basic contact information by completing the online registration form that you’ll find below.  This eliminates the need for traditional paper forms.  We compile member details into a centralised database, which allows us to manage member information efficiently and securely.  Please read the following information carefully as it explains how we look after your data.  

What data do we collect from members?

We collect some of the following types of data from members:

  • Name
  • Email address
  • Postal address
  • Phone number
  • Emergency contact details
  • Photos/video footage
  • Bank details (only if required for reimbursement purposes) 
  • Age/DOB (but this is optional)
  • Voice part
  • Gender

We check what data we hold on members every two years and remove it if we no longer need it. If you leave the group, we’ll make sure we stop using and/or delete any data we don’t need to keep.

What do we use it for?

Any of the information listed above might be needed to manage your membership with Harrogate Theatre Choir and to organise and run our activities, eg rehearsals and performances. We will never use this data for anything else unless you give us your active consent for that additional use.

If you give your consent, Harrogate Theatre Choir will also add your email to our mailing list for the group’s marketing/promotional communications. You can easily unsubscribe at any time by clicking the link at the bottom of our emails/newsletters. 

Do we share your data with anyone else?

  • We will never give your data to third parties for that third party to use. We will sometime use third party services (eg Muzodu, Mailpoet) who store or process your data on our behalf, but we will always make sure that any third parties are reputable and secure, and that your data is kept safe.
  • Members have access to names and email addresses of other menbers. But if a member of Harrogate Theatre Choir asks for other details (eg telephone, address) we will only ever share that information when we have that member’s consent.

What can you ask us to do?

At any time you can ask to view, update or correct any data we hold on you.  To request any of these, please contact the Secretary who will respond within one month.  See our Privacy Policy for full details.
